: SERCA officer nominations
ClassicSE-R 09-30-2002, 10:57 AM SERCA is going to hold an election to vote for new officers. We need a president, vice president, treasurer, and secretary. First, officers have to be nominated. Then, they have to accept the nomination.
All candidates must be SERCA members.
If we cannot find candidates to fill the jobs, then we will have to condider disbanding the club. Please feel free to make nominations here. Remember, a candidate must accept the nomination. We will hold nominations open for a couple of weeks, and then get rolling on an election.

For everyone's benefit, here is a listing of duties from the SERCA constitution: Article III, Section IV. The formatting is slightly edited for forums readability. The full By-Laws text is at:

Club Council Responsibilities
President:
1. Ensure SERCA operates within the parameters established by SERCA's By-Laws.
2. Call and conduct any special meetings;
3. Represent SERCA at various functions as required;
4. Appoint committees as required;
5. Update all members of National Club business by means of a regular written statement or articile distributed in the newsletter;
6. Maintain the By-Laws, and make Amendments in accordance with Article VII;
7. Ensure all Officers complete their duties as described by Article III, Section IV;
Vice-President:
1. Coordinate National elections per Article III, Section III;
2. Assist the President in completing all his/her stated duties as described in Article III, Section IV;
3. Coordinate, maintain, and distribute a regular newsletters
- 1) The Vice-President may appoint a task group (or person) to do maintain the club newsletter;
- 2) This newsletter must be distributed a minimum of 4 times annually.
Treasurer:
1. Maintaining SERCA's current and historical financial records;
2. Receiving funds for SERCA;
3. Disbursing club funds as approved by the Club Council and per Article V, Section II;
4. Presenting the club's finances at any SERCA meeting;
5. Writing Checks for SERCA, with all checks against SERCA accounts to be counter-signed by another Club Council member;
6. Update all Club Council members of the status of any and all SERCA finances, including any divisions of funds among official SERCA Regions.
7. Maintaining all Bank Accounts that contain SERCA funds.
Secretary:
1. Recording minutes at all SERCA Council meetings; These minutes must be published in the next Club newsletter distributed to general membership.
2. Holding and retrieving when necessary, all legal documents pertaining to SERCA, possibly in a secure bank safe deposit box;
These may include, but are not limited to:
- 1) SERCA's current and historical membership records;
- 2) Council Meeting Minutes;
- 3) Corporation Declaration;
- 4) Employer ID statements IRS Form # 501(c)(7);
- 5) Tax Exempt Forms;
- 6) All Annual IRS Tax filing documents.
3. Distribute an updated membership list monthly to all SERCA Club Council members.
Slow 96R 09-30-2002, 08:45 PM OK not to be a knuckle head or anything, but what if we choose these officers in different states? Should some of the laws be updated to reflect meeting and minutes being done in a different format?
Yosho 09-30-2002, 10:29 PM Since this vote is only open to current members... I'm curious how many current members SERCA has and how have they been contacted to let them know this vote is going on?

Officers can be from any state. The club is registered in Michigan, but officers can be anywhere.

We have a Yahoo Groups site set up. Go to:
http://groups.yahoo.com/group/SERCAmembers/
and sign up to be a member of the community. There's a mailing list, file posting, etc.
All official nominations need to be done on the SERCAmembers site.

Nominations are now officially open for the following SE-R Club of America officer positions:
President
Vice-President
Secretary
Treasurer
I will be accepting nominations via e-mail or snail mail only. You may e-mail me at <geo31@earthlink.net>. I will not post my home address on a public forum. If you are a SERCA member you should be receiving a notification via snail mail that will have my address.
If you wish to nominate someone, you must be a member in good standing (dues paid). Please verify that the person you are nominating will accept the position.
Once the nomination period is closed I (or someone else) will create a written ballot and they will be sent via snail mail to all members. Voting will be accepted via snail mail only, per the by-laws of the SE-R Club of America.
